How to read a private jet charter quote line by line: repositioning, taxes and fees, overnight and de-icing charges, cancellation terms, and the questions that stop a quote from growing.
Two operators can quote the same aircraft on the same route and be thousands of dollars apart, and neither is lying. The difference is almost always what each quote includes. Here is how to read one.
Ask for the all-in trip price, not the hourly rate
Hourly rates are a marketing number. What you pay is a trip total that includes flight time plus the items below. The first request on any enquiry should be: "Please quote this as an all-in total with every fee itemised."
If a broker resists itemising, that is your answer.
The line items that decide the number
Repositioning, sometimes called ferry time. Aircraft are not parked where you are. If the jet has to fly empty to reach you, or fly home empty afterwards, that time is usually billed. On a short one-way trip, repositioning can be the largest single component of the quote.
Federal excise tax. Domestic U.S. charter flights carry a percentage federal excise tax on the amount paid for transportation, plus a per-passenger domestic segment fee. The rates are published by the IRS in the Air Transportation Taxes guidance. Some quotes show it, some bury it, and a quote that omits it will grow before you sign.
Landing, ramp and handling fees. Charged by each airport and each private terminal. Busy metropolitan airports and event weekends are the expensive ones.
Overnight and crew costs. If the aircraft and crew stay with you, expect a daily minimum, hangar or parking fees, and crew hotel and per diem.
Daily and trip minimums. Most operators bill a minimum number of flight hours per day. A 40-minute hop can be charged as one or two hours.
Catering, ground transport and Wi-Fi. Frequently excluded. Ask what standard catering means, because on some aircraft it means bottled water and snacks.
De-icing. Winter operations only, charged at cost, and it can be a four-figure surprise. Ask how it is billed before a January trip.
International items. Customs and immigration handling, overflight and navigation charges, and international segment fees on cross-border flights.
The contract terms that matter more than the price
- Cancellation windows. How many days before departure does your deposit stop being refundable, and does a weather cancellation count differently?
- Aircraft substitution. Can the operator swap you to a different aircraft, and at what price? "Or similar" in a quote can mean an older cabin or a stop you did not plan for.
- Mechanical recovery. If the jet is unserviceable on the day, who pays for the replacement, and how long do they have to find one?
- Payment timing. Most charter is paid in full before departure. Wire fraud is common in this industry, so confirm bank details by phone with a known contact, never from an emailed change of details.
- Who is actually flying you. In the United States, commercial charter operates under FAA Part 135. Ask for the operator name and certificate, not just the broker's brand. Brokers are legitimate and useful; you still want to know the operator.
Questions to send with every enquiry
- What is the all-in total, with each fee itemised?
- Is repositioning included, and how much of the total is it?
- Which specific aircraft, what year of cabin refurbishment, and who operates it?
- What are the daily minimums on this itinerary?
- What happens, in writing, if the aircraft goes mechanical?
- What is the cancellation schedule, and how is a weather cancellation treated?
- Is catering, ground transport and Wi-Fi included?
How to make the quote smaller
Fly from the secondary airport near you that the aircraft is already based at. Move your departure by a day to line up with an aircraft that is already positioned. Fly round trip rather than one way, because one-ways carry the repositioning cost. Ask about empty legs if your schedule can flex. And compare like for like: a light jet quote against a midsize quote is not a price comparison, it is two different trips.
